Handling donations

We really appreciate all you've done — or plan to do — to help the people we serve and support Mercy Corps! Please help us be efficient with the donations you've collected by reading over these tips for handling and submitting donations.

All donations (checks made out to "Mercy Corps" -- please do not mail cash) should be sent with the Fundraising Tracking Form (PDF or Excel file) to:

Handling donations at events

The donation handling materials below are available on Materials and messages for online download or through email request (email information found on Materials and messages).

We can accept cash, credit cards and checks made out to "Mercy Corps." Mercy Corps does not accept and cannot receipt non-monetary gifts, such as clothing and food or any type of service.

* Items used for Portland-area fundraisers are subject to availability. Pick-up and drop-off at Mercy Corps' office is managed by the fundraiser.

Methods to collect

Donation Envelopes

Ask donors to fill in their information, put their donation inside and give you the sealed envelope. Donors can also take envelopes home to mail in later. They are coded for your effort for our donation processing team. We suggest you send a reminder email one week later to increase the return rate. Donation Slips

Have donors fill in their information, and let them know that credit cards are processed securely in our offices. Always submit with the Fundraising Tracking Form (PDF or Excel file).

Laptop with Internet

Have your fundraising campaign page up and be sure you have access to wireless Internet! Please do NOT go online to make others' credit card donations yourself.

Keeping donations secure

Keep Donation Slips private and secure during the event, just as you would checks or cash. If using a bucket or box, keep an eye on your collection point for safety.

Take care when traveling with donations after your event. Try not to advertise that you are carrying cash!

Submitting donations

Please always submit the Fundraising Tracking Form (PDF or Excel file) completed with your first and last name or the title of your fundraising page. Make sure the total is equal to the amount you submit to Mercy Corps. Donations submitted without a full name and address are “anonymous” and the donor will not receive a receipt.

Donors appreciate timely receipts, so please submit donations as quickly as possible. If you expect more donations to trickle in, please submit what you have now and send the rest later.

Mail

Cashier’s check/money order (please do not mail cash), individual checks, Donation Slips, Donation Envelopes, and the Fundraising Tracking Form (PDF or Excel file) to:

Visit

If you’re in the Portland area, email our Community Fundraising Team to make an appointment to drop off donations at the Mercy Corps office.

Updating your campaign total

You can update your online fundraising page total as soon as your event ends. Log on, proceed to your fundraising page and open the "Edit" tab. Fill in the "Amount raised offline" field and hit "Save."

All donations must then be sent to Mercy Corps along with our Fundraising Tracking Form (PDF or Excel file).

Acknowledging your donors

Tax-receipts

Monetary donations to Mercy Corps are tax-deductible, and we mail receipts directly to donors using their contact information from the Fundraising Tracking Form (PDF or Excel file) and the Donation Envelopes/Slips you submit.

Donations Mercy Corps receives without a full name and address will be considered “anonymous” and the donor will not receive a receipt.

If only a portion of the amount you raise will be donated (ie: “a $75 dinner reservation of which $50 will be donated”), donors must be informed in advance that their tax receipt will only reflect the amount Mercy Corps receives.

Thank-you’s

Be sure to thank your donors for their generous contributions and let them know the grand total raised. You can find message templates on the Materials and messages page.
